For student services

For the work that keeps your student services office running.

We build the processes your office runs on. The ones that start with a family, or a district two counties over, or somebody who has never heard of you. We build them around how your office already works, take them off your hands, and keep them moving.

Five processes, and not one of them was filled out by somebody who works there.
01 · The condition

None of it finishes in your building.

A family fills out the enrollment paperwork. A parent signs the release. A registrar somewhere else sends the records. A county office signs off.

01Not one of those people works for you.
02Every one of them is a step that has to happen before a student can start.
03So whether any of it moves depends on how easy it is on their end.

A parent with a phone at nine at night either finishes it or doesn't. That part isn't about your office at all, and it's the part most of this work waits on.

02 · The desk

The work that touches your desk.

01
Enrollment and registration
The forms, the signatures, and the stack that has to be complete before a first day.
02
Residency and proof of address
Asked for once, submitted from wherever they are, on file.
03
Out-of-district requests
A family in one district asking to attend another, with the sending district, the receiving district, and a county office all on the path.
04
Transfers and withdrawals
Somebody leaving mid-year, and somebody arriving mid-year from a school that hasn't sent anything yet.
05
Records and transcript requests
From families, from other districts, from colleges, from people who graduated a decade ago.
06
Immunization and health records
Collected at registration, complete before it becomes a problem in September.
07
Students who are homeless or in transition
Intake and enrollment that has to move right away, whether or not anything from the last school has arrived.
08
Free and reduced lunch applications
Submitted at home, without a paper form coming back in a backpack.
09
Counseling and work-based learning
Graduation plans, placements, and the permissions a student needs before they can be somewhere other than school.
And if the one costing you the most is not on this list, it is still this kind of work. That one is usually the place to start.
03 · Today

Right now you're waiting on somebody.

A packet goes home in a backpack. A form gets mailed to a parent who mails it back, or doesn't. Somebody calls a district two counties over and leaves a message.

A family shows up at a counter during the hours they're supposed to be at work.

A student can't start because one piece of paper is somewhere between two offices, and the only way to find out where is to ask.

Five weeks, and almost all of it was spent waiting.
04 · With Flow Forms

We build the other person's side too.

Most of what goes out of this office gets filled out by somebody who doesn't work for you, on their own time, on whatever they have in their hand. So we build for that.

It arrives by text and email, opens on a phone, and takes a few minutes. No account, no password, nothing to download, no trip to the office.

Then we build your side around how your office already moves it, and from there it runs. It goes to the next person on its own, asks again when nobody answers, and you can open it any time and see where anyone stands.

How we build it →
What goes away is the carrying.
That's the work we take off your hands.
05 · What it looks like moving

“We needed to reduce the workload in our office and the modernizing option was to quit doing data entry and save lots of paper along with lots of time. Flow Forms showed up as our go-to partner. We put our intent to homeschool online and because it was so successful we continued with our educator licensure registry. It has been phenomenal.”

John Nielson, County Superintendent of Schools
Gallatin County

What happens when the form is easy on the other end shows up in the numbers. These are other desks' processes, and the mechanism is the same one.

Every one of those was filled out by somebody who does not work at the district.

06 · Tomorrow

Once it's running.

A family enrolls from the kitchen table on a Sunday, and the paperwork is complete before anyone opens the office Monday. A parent signs a release on a phone in a parking lot. An out-of-district request goes to the other district, the county, and back, and you can see where it is the whole way. A student who arrived mid-year starts on time because the one thing you were waiting on got answered the day you asked.

Nobody called the office, and nobody came in.

All of this, and all anyone does is fill out a form. That is a student services office where the work moves and nobody carries it.

Bring us the first one.

Start with enrollment, or start with whatever is costing you the most. We'll talk it through together and show you how it could work in your office. No slide deck. No generic walkthrough.

07 · Questions

Questions we hear from every office.

Does a parent need an account?
No. The form arrives by text and email with a direct link. They open it, fill it out, and they're done. Nothing to sign up for, nothing to install.
Can someone at another district sign?
Yes. They get a link the same way. They don't need an account with us and their district doesn't have to buy anything.
What happens when nobody answers?
The process asks again on its own. You can also open it any time and see who hasn't responded, without calling anyone to find out.
Does this replace our student information system?
No. Whatever you use for student records stays where it is. We build the processes that live outside it.
How is it priced?
Per process, so the office that needs it can say yes on its own.
Who builds it?
We do, with you, on a video call while you watch. Nothing like a typical software rollout. No IT project, no six-month timeline, and we stay on to make changes whenever you need them.
